Restocking Documentation Requirements: Ensuring Transparency and Accountability

To maintain financial transparency and operational efficiency during every restocking cycle, it is essential that all required documentation is complete, accurate, and verified before uploading to the online portal. The following checklist outlines the documents that must be submitted, along with guidelines to ensure consistency across all regions.


Mandatory Documents for Each Restocking Submission

Before any restocking report is uploaded, please ensure the following items are submitted and verified by the respective Regional Directors or Managers:

  1. Bank Statements
    Submit complete bank statements covering the period from the last restock date up to the current restock date. These must clearly show all relevant financial transactions related to restocking activities.

  2. Itemized Restocking List
    Provide a detailed list of all items purchased for the current restock. This list should include:

    • Cost Price

    • Selling Price
      Use the official company form (available in Word/PDF format) for consistency.

  3. Proof of Funds Transfer
    Include a screenshot from the bank statement showing the transfer of funds used for restocking. This serves as confirmation of financial movement aligned with the restock.

  4. Sales Record of Previously Restocked Items
    Submit a current list of sold items from the respective branch manager (e.g., Joy).

    • This list must correspond with the bank transactions showing the manager's fund transfer.

    • Use the designated form template (Word/PDF format).

  5. Official Supplier Receipt
    Upload the original receipt or invoice from the supplier or seller from whom the restock was made. This ensures traceability and supplier verification.


 Important Reminder:
All entries must be reviewed and validated by the appropriate Regional Director or Manager prior to submission. Incomplete or unverified entries will not be accepted on the portal.
